Completed and signed MAR form
Why it matters: A request without the project’s own form is returned on formality before anyone reads it.
Specification clause reference and related drawing number
Why it matters: The most common return: the reviewer cannot tie the material to the clause that demands it.
Technical datasheet for the exact model (not the family)
Why it matters: A family-level datasheet does not prove the supplied model complies.
Point-by-point compliance statement against the specification
Why it matters: Prevents later argument and turns the review from reading into checking.
Test certificates from an accredited laboratory
Why it matters: A certificate from a non-accredited lab is rejected even when the results comply.
UAE Certificate of Conformity (CoC) where required
Why it matters: Required for specific product categories — confirm your category before shipping, not after.
Proof the manufacturer is on the Approved Vendor List (AVL)
Why it matters: Each body keeps its own list — being listed with one does not mean listed with another.
Fire performance certificate for the model (with the certifying body)
Why it matters: What is required is a model certificate from a recognised certification body, not a manufacturer declaration.
Evidence of halogen-free (LSZH) cable where required
Why it matters: Requested under hazardous-material requirements and on escape routes.
Physical sample or mock-up where requested
Why it matters: A missing sample delays approval without being logged as a rejection — time lost with no record.
Warranty letter and spare-parts availability period
Why it matters: Requested at final handover; preparing it now prevents a handover delay later.
O&M manual and installation requirements
Why it matters: Defines the clearances and access that must appear on the builder’s works drawing.
Impact of the material on builder’s works sleeves and openings
Why it matters: Changing the model after the concrete pour is the most expensive correction on a project.
Previous approval of the material on a comparable project (if any)
Why it matters: Shortens the review but does not replace the documents — attach it as support, not a substitute.
